Meeting Minutes for October 26th, 2009

I would like to thank everyone who attended. We had a lot of business to attend to and was able to be quite productive. Officer reports were that all is going well. We will be looking for candidates for the Exchequer and Herald's office as their warrants expire in January. If you are interested please let me know. Our weekly schedule is as follows: Populace Meetings: every other Monday at MiddleBush room 133 at 7:00 pm. A&S Meetings: every other Monday that is opposite of the Populace Meeting at MiddleBush, room 133 at 7:00 pm unless otherwise noted. Fighter Practice every Thursday at Trowbridge Arena starting at 6:00 pm. Archery Practice every Wednesday at Thomas and Marie's house starting at 6:30 pm unless otherwise noted. Dance Practice is currently every 3rd Thursday at 7:00pm on Stephen's College. More information will be coming.

Scribal Symposium wrap-up:
We had 116 adult members, 34 adult non-members and 7 minors for a total attendance of 157 people. There were 14 classes total with 60 people attending classes. For the financial breakdown, Income: $0.00, Expenses: $30.00 for a total profit of -$30.00. Which isn't bad at all considering this was a free event. We passed around the shire registry. I will be updating it and will have it on the list page as soon as possible. We started discussions on our next event, QPT which is Jan 23 at Memorial Union. We decided upon coins for the site tokens. Thomas, Jonathon and crew are going to do an experiment with the making of said coins on Wednesday night so we are all anxiously awaiting the turn out. Ancelin suggested reserving Jesse Wrench to hold court. We will be doing a walk thru at Memorial Union on Jan 4th so that everyone will be aware of what needs to have happen and where everything is at. There has been a request to get Rhodri into a meeting so we can discuss our event in Oct.
Meeting Minutes for September 28th, 2009

We had a very productive and exciting meeting last night. Thanks for all of you who made it out to our business meeting last night. We had several key items to discuss and announce so I'm hoping that I will remember to put everything down here in the minutes.

Officer reports:
  • Chatelaine: There will be a journalism student who will be conducting interviews for her paper. More info to be announced later.
  • Herald: Congratulations to HL Marie for receiving the Calon Cross. It is a well deserved award and we are very proud of her.
  • Marshall: Fighter practice will be moved to Trowbridge we are hoping for Oct. 21. We will moving practice to Wed. nights to better facilitate our fighter's schedules. Also, with it being on Wed night, hopefully we can encourage our friends from Wyvern Cliffe to come and play with us so that we can have some cool big melees as in the past. Kirill is checking to make sure that Wed night is still available for us. We will let you know as soon as that is confirmed.
  • Archery Marshal: practice outside will become more sporadic as the temperatures get colder and nighttime gets sooner. Anticipate Sunday practices as well as project nights at Thomas and Marie's house as winter approaches. They will also set up times at the Powder Horn as the schedule allows. At the end of Oct. archery practice will be moving back to Tuesday nights.
  • Exchequer: Esteban gave out our balance and reports all is well.
  • Arts & Sciences: Lots to report here, first of Congrats to Iseabail for taking 2nd place at the A&S competition at Gryphon's Fest. Well deserved! We also spoke about bringing back an A&S night to work on both unfinished projects and new projects like for largesse and stuff. I asked the populace to think about it and we will vote on it at the next business meeting. We talked about how there will be upcoming sewing circles and pre-print parties on Sunday so stay tuned for future announcements.
I let everyone know that we have been approved for temporary liquor license and food permit for QPT 2010 so things are going very smooth on that front. More to come after Scribal Symposium. Simonne took over to discuss Scribal Symposium. She is very excited about the classes that are being offered. She requested volunteers for specific jobs and passed out a sign up sheet which I believe she was able to completely fill up. We will be having a pre-event project night on Oct.12 to get all of the packets stuffed and last minute projects made for the event.

I think that about covers it. Looking forward to our upcoming event, Scribal Symposium.

Meeting Minutes for August 24th, 2009

Holy Toledo did we have a great turn out last night! I want to thank everyone who showed up for fighter practice and for the business meeting. I think it is safe to say we had an awesome time as indicated by the amount of foot traffic that stopped to watch us play.

Officer reports:
  • Chatelaine: Elzebeth reported that we have been invited to come play with Bellewode at their demo at Truman State. I believe it to be on Thursday and Friday.
  • Herald: Ancelin gave praise to Derdrui who received her Silver Hammer at Pennsic.
  • Marshall: Celegur needs to know if you have your fighter card and if you need to be on the fighter’s op when he sends in his report. He also said to make sure you can get “ready to rumble” at the regional fighter practice and hopes that the transition to Trowbridge in Oct. goes smoothly.
  • Archery Marshal: Marie reports that everyone is busily getting ready for KCoA’s.
  • Arts & Sciences: Jennifer is excited about being our newest officer. She has some really cool ideas about upcoming projects so please stay tuned.

It was announced that we will start meeting back at Middlebush from here on out unless otherwise noted.

The shire agreed to purchase: 2 wheeled Rubbermaid’s for the tents and shade flys, 1 rubber maid to hold all of the lanterns in (Derdrui is going to make wooden boxes for them so that they don’t get banged up.) and a bevy of water bearing supplies and a tub to hold them all in. We decided to hold off on purchasing painting supplies at this moment. We will reassess the need a little later.

We discussed volunteering for the Scribal Symposium which was very well received. I will relay the info to Simonne, our hard working autocrat.

Meeting Minutes for April 20th, 2009

Hi everyone,

I wanted to thank everyone who tackled the fierce Spring winds and attended both Fighter Practice and the Business meeting last night. We had Alejandro, Thaddeus, Celegur and Dunham fighting with Kirill, Ancelin and I looking longingly anticipating the time that we too can swing a stick at everyone. We also had a whole slew in attendance for the business meeting and several people stopped to watch the fighting and attend the meeting so I think it will only get better as the weather gets warmer.

Here are the minutes from the meeting in case you weren't able to attend.

Most of the officers were present, nothing new to report except the awards that were given at the Bellewood event to Ilaria for Laurel and Simonne for Lily.

We talked about the work that will need to be done at the William Marshall event both on Friday and on Saturday and that if you could volunteer to help set up the shade fly, dig a fire pit, wash a few dishes or help take down that would be great since this is a shire endeavor, and the shire reaps the benefit not the 4 ladies who are running it.

We will be hosting the Scribal Symposium with a Regional Fighter Practice on Oct.17th at the Geology Building and Peace Park. The inner workings have begun and will go into full fledge mode immediately after Lilies. Be ready to volunteer for Crash Space coordinator, Parking attendants, Set-up/Tear-down crew, etc. We will also be having a project night to make more signs so that no-one can get lost on campus this time. : )

A couple of things that were not discussed at the meeting:

We will now have a sign out list for shire property. With the last inventory, Edaine has a nice list and is creating an Excel spreadsheet that when something is being used, whoever picks it up will sign out for it and noted when returned. This will help tremendously with trying to track down stuff after we have had an event and it is six months later and no one remembers who has it and everyone assumed that it got returned to the quartermaster. : ) This is the same thing that we are doing for the Heraldry book so we are being consistent in our record keeping.

It occurred to me that with all of our new people, we should consider how people are camping at Lilies. In the past, Standing Stones hasn't formally all camped together mostly because a lot of members are involved with either their own household or in a household. And sometimes, by coincidence some have camped together or in conjunction with Amleth Moor especially during Tristram's reigns. I would like to find out that if you are planning on attending Lilies that you have a place to stay or if we need to consider doing something on a shire level. Let me know what you think regarding this.

Meeting Minutes for January 19th, 2009

For those who couldn’t attend last night’s business meeting here is a rundown of what was decided.

  1. Standing Stones will be putting on an exhibit at the Jubilee event called “ Scrolls though out the Ages” It will be a display of AOA level awards from each reign. If you have an AOA or an AOA level scroll and wouldn’t mind loaning it to me for this exhibit, please get with me.
  2. At the Marshall event, we will be running the Inn on Saturday. This will be quite the endeavor so we will be having several meetings to get this organized. Simonne will be heading this up.
  3. We have been asked by the Columbia Parks and Recreation to be a part of their Family Fun Fest at Flat Branch Park on August 19th. We will be doing a full blown demo. More info to come closer to the date.
  4. We have put in a bid for Queen’s Prize Tournament in 2010. I believe that we have a fairly good chance on getting this. I will let you know as soon as TRH’s decide on who will host it.
  5. We have decided that for this year we will host a Scribal Symposium with a regional fighter practice. We are still working on a date.
  6. We will have a Russian-themed high persona event autocrated by Rhodri in Oct. 2010. More details will be forthcoming.
  7. We want to have an Estrella Pity Party on either Sunday Feb. 15 or 16th but are in need of a host. Any volunteers?
